Privacy Policy
Last modified: October 28, 2026
This policy describes how Conversations Export collects and handles data when you use the HubSpot App.
Information Collection and Use
The company gathers several data categories:
- Personal Data includes information you provide during setup, such as “Email address,” “First name and last name,” and “Company name.”
- HubSpot Account Data comes from your HubSpot account integration, processed with your authorization during installation.
- Usage Data encompasses technical information about how you access the app, including IP address, browser details, pages visited, and time spent on pages.
Use of Data
Exported conversation data is “temporarily stored on secure Amazon S3 servers for 7 days before being deleted automatically.” The company uses collected data to maintain the app, notify users of changes, enable interactive features, provide support, improve services, monitor usage, and address technical issues. We may also aggregate and anonymize data so that it no longer identifies you or your organization, and use that aggregated, anonymized information to create, publish, and distribute marketing materials, case studies, benchmarks, trend reports, and similar promotional content.
Cookies and Similar Technologies
We use cookies and similar technologies to operate the app and, if you choose to allow them, to measure usage and improve the product.
- Necessary cookies keep authenticated sessions working, help secure the app, and support core product functionality. These are required for the service to work properly.
- Optional analytics and third-party cookies are loaded only after you accept them through the cookie banner. These may include analytics and HubSpot-managed scripts used to understand usage and improve the service.
- Consent preference cookie stores your cookie choice so we can remember it on future visits.
Data Sharing and Disclosure
Personal data may be disclosed when necessary to comply with legal obligations, protect company rights, investigate wrongdoing, ensure user safety, or prevent legal liability. Data may be shared with HubSpot for app functionality.
Shared Report Links
You can create a link that lets anyone who has it view a read-only copy of one brief or of your Briefs Snapshot without signing in. How shared links work:
- What is shared. A frozen copy of the report as it was when you created the link. It can include review reasons, counts, dates, company, deal and agent names, deal amounts and links to conversations in HubSpot. It leaves out customer message quotations, contact names, email addresses and phone numbers, and contact and owner identifiers. You can choose to replace company, deal and agent names with aliases.
- Who can view it. Anyone who has the link, including anyone you or a recipient forwards it to. The link is a long random address that cannot be guessed, and we store only a one-way hash of it. Links to conversations open in HubSpot and still require access to your HubSpot portal.
- Expiry and removal. Each link expires after the period you choose (30 days by default, at most 90) and never later than the report’s own retention. Any user of your portal can turn a link off at any time. The stored copy is deleted about a week after a link expires or is turned off, and immediately when the app is uninstalled, your account data is erased, or the contact behind a conversation in the report is erased.
- What we record. The number of views and the time of the last view, which users of your portal can see. We do not store the viewer’s IP address, device or identity with the link. Like any web service, our hosting infrastructure keeps standard request logs that can include the address a page was requested from and the link itself; these are not shown to you or tied to the view count. Shared pages are not indexed by search engines and do not load analytics or chat scripts.
AI Platform Connectors
You can connect Convexport to external AI platform connectors (such as Claude or ChatGPT) from the Connected apps settings page. A connection is created only when you approve it on the consent page, and it applies to the specific portal shown there.
- What is shared. A connected AI platform can request only the Convexport tools shown on the consent screen: aggregated conversation analytics (for example response times, conversation depth and SLA compliance), generated briefs and snapshot results, export estimates and statuses, and the ability to start exports, briefs and snapshots. Message bodies, contact names, email addresses and phone numbers are never exposed through the connector.
- Third parties involved. When you or someone in your organization uses a connected AI assistant, the tool results Convexport returns are processed by that AI platform (for example Anthropic for Claude or OpenAI for ChatGPT) under that platform’s own terms and privacy policy. Convexport does not send any data to AI platforms on its own; data flows only in response to a tool call made through an approved connection.
- Billing. Actions taken through a connector consume the same allotments, overage and export credits as the equivalent actions in the Convexport app.
- Retention. Connection access lasts until you revoke it, either per app from the Connected apps page or for all AI connectors with the portal switch on that page. Access tokens are stored only as cryptographic hashes and expire within an hour; refresh tokens are rotated and a reused refresh token revokes the whole connection. We keep a minimal audit record of connector tool calls (tool name, portal, timestamp and outcome; never tool arguments or results) to meter usage and daily quotas.
- Your control. Revoking a connection or turning off AI connectors for the portal takes effect immediately. Turning AI connectors back on does not restore previously revoked connections; each app must be approved again.
